Behind on the Books and Afraid to Look: A Cleanup Story

WHO: A service business owner running their bookkeeping largely on their own.

THE PROBLEM: Close to a year of months never truly reconciled to the bank, a couple of months of transactions missing from the system entirely, and a chunk of what looked like business debt that turned out to be mislabeled.

THE OUTCOME: The checking account now ties to the bank every month, to the penny. The mislabeled debt is gone. Instead of a once-a-year scramble, they're on a monthly close with a plain-language update every month.

The Challenge

A service business owner came to us a few months ago carrying the same feeling a lot of business owners carry: they knew their books were behind, and they were scared of exactly how behind.

A few things had slipped. A setup call for one of their tracked accounts never got rescheduled, so close to a thousand dollars of small cash transactions sat untouched for months. Personal card charges for the business were uploaded but never sorted. Payroll was posting as one lump number instead of breaking down by employee, so they couldn't tell what they actually owed anyone. And a couple of months of transactions weren't in the system at all, kept instead on a spreadsheet that never quite got finished.

"I felt like I had no idea what was actually true" is the kind of thing we hear a lot. Not because the owner wasn't trying. Because bookkeeping software will happily show a number that has nothing to do with what the bank account actually says, and most owners have no easy way to know the difference.

What We Did

We started the way we always start: we pulled every real bank statement, month by month, and checked it against the books line by line. Not what the software guessed. Not what a prior bookkeeper typed in. The actual bank statements.

What we found was familiar. Close to a year of months that had never been truly reconciled to the bank. A couple of months of transactions missing entirely, which we rebuilt from scratch off the real statements once we had them in hand. A stack of small check payments with no payee attached (the bank simply doesn't print who a numbered check went to) . this is the moment every bookkeeper faces a choice, and it's the one worth teaching: the fast move is to guess a payee and move on, so the numbers look finished. We don't do that. We set anything we can't verify aside, honestly, and flag it for the owner to identify from their own records. A guess that turns out wrong is worse than an open question. And a chunk of what looked like business debt on the balance sheet, once we traced its full history, turned out to be the owner's own money moving in and out, not a real loan at all, just mislabeled.

We rebuilt the missing months transaction by transaction, using the real statements. We reconciled every month, all the way back to when the account opened, to the penny, against the actual bank documents, not an estimate. We walked every line of the balance sheet, checking each account for whether the number on the page actually meant what it claimed to mean, and cleaned up what we found.

The Results

- Close to a year of previously unreconciled months tied out to the real bank statements, penny for penny. - A couple of months of missing transactions rebuilt from scratch off the actual bank documents, not an estimate. - A mislabeled "loan" inflating the balance sheet identified and corrected . it was the owner's own money moving in and out, not real debt. - A stack of unverifiable check payments set aside honestly and flagged for the owner, instead of guessed and buried. - The checking account now reconciles to the penny every month, on a monthly close rhythm instead of an annual scramble, with a plain-language update instead of a mystery number.
